Information we collect

We collect information in a few different ways. When you fill out an enquiry or demo request form, we collect the details you give us, such as your name, company, phone number, and email address. When you sign up for the platform, we collect the information needed to set up your account and bill you correctly.

Once you are on the platform, we process call data on your behalf. This includes call metadata such as numbers dialed, call duration, and timestamps, along with call recordings and transcripts your team generates through the product. We also collect basic usage data, such as which features you use and how often, so we can fix bugs and improve the product.

Call recording and transcripts

Recording and transcribing a phone call is at the heart of what we do, so it deserves its own section. When your team uses Voca Labs Technologies to make or receive calls, the platform can record the audio and generate a written transcript along with an AI summary. These recordings and transcripts are your data. We store them on your behalf and process them so the product can work, and we do not sell them or use them to build products for anyone else.

You are responsible for making sure your use of call recording complies with the law in the places you operate, including any requirement to notify or get consent from the person on the other end of the call. We provide tools to help with this, such as configurable recording announcements, but the legal responsibility for lawful recording sits with you as the account holder.

How we use information

We use the information we collect to operate and maintain the platform, to process payments, to respond to support requests, and to send you updates about your account or about changes to our services. We also use it to understand how the product is used so we can decide what to build next.

If you have given us your phone number through a demo or enquiry form, our team may reach out by phone, email, or WhatsApp to follow up. You can ask us to stop contacting you at any time.

Sharing your information

We do not sell your personal information. We share it only where it is needed to run the service. This includes our cloud hosting and database providers, our telephony carriers who connect the actual calls, and, where you choose to enable it, third party tools such as your CRM or WhatsApp Business account. Each of these providers is bound to handle your data only for the purpose of providing their part of the service.

We may also disclose information if required by law, such as in response to a valid court order or a request from a government authority, or where we believe in good faith that disclosure is needed to protect our rights or the safety of our users.

Data storage and security

Your data is stored on servers operated by reputable cloud infrastructure providers. We use encryption in transit and at rest for call recordings, transcripts, and account data, and we limit access to your data to the staff who need it to provide support or keep the platform running.

No system is completely free of risk, and we cannot guarantee absolute security. If we become aware of a breach affecting your data, we will notify you and take reasonable steps to limit the impact.

How long we keep your data

We keep call recordings, transcripts, and account data for as long as your account is active, so the platform can keep working the way you expect. If you close your account, we will delete or anonymize your data within a reasonable period, except where we are required to retain it for legal, tax, or regulatory reasons.

Your rights and choices

You can ask us to give you a copy of the personal information we hold about you, to correct it if it is wrong, or to delete it, subject to any legal obligations we have to keep certain records.
